Document Queue

Overview

The Document Queue is the central repository displaying all documents available in your Docspire account. This includes sample files, manually uploaded documents, and files received through integrations. It provides a unified interface to view document metadata, check processing status, and perform actions on individual or multiple documents.

The Document Queue functions as a document management list where you can:

  • View all documents and their current status at a glance

  • Access key metadata including document type, source, and processing results

  • Initiate actions such as processing, reviewing, or viewing results

  • Manage documents through filtering, searching, and bulk operations

Access the Document Queue by:

  • Clicking Document Queue in the Main section of the navigation panel

  • Navigating from the Home page after uploading documents

Document Information Display

The Document Queue presents document information in a structured table format with customizable column visibility:

Default Fields (Always Visible)

  • File Name – Original name of the uploaded or integrated document

  • Type – Document classification category (Purchase Order, Pay Slip, Bank Statement, ID, etc.)

  • Actions – Available operations based on current document status

Optional Fields (Can Be Disabled or Enabled)

  • Status – Current processing state (Pending, Running, Success, In Review, Error)

  • Source – Document origin (Manual Upload, Integration, API)

  • Document ID – Unique system-generated identifier for each document

  • Priority – Processing priority level assigned to the document

  • AI Extraction Accuracy – Percentage confidence score of the AI model's data extraction

  • Validation Score – Percentage of business rules and validation checks passed

To customize which fields are displayed:

  1. Click the Columns button in the top-right corner

  2. Select or deselect fields from the dropdown menu

  3. Changes are applied immediately to the document list view

Document Status Types

Documents progress through various statuses during their lifecycle:

  • Pending – Document uploaded and awaiting processing

  • Running – Currently being processed by the system

  • Success – Processing completed successfully without errors with extracted data available

  • In Review – Requires human verification due to validation rules or confidence thresholds

  • Error – Processing failed due to technical issues or unsupported format

  • Rejected – Document rejected with notes through the Review Action

Performance Metrics

The Document Queue displays key performance indicators for processed documents:

  • AI Extraction Accuracy – Percentage confidence of AI model extraction

    • Displayed as a percentage (e.g., 91.83%)

    • Higher scores indicate more reliable extraction

  • Validation Score – Compliance with configured business rules

    • Shows percentage of passed validation checks

    • Helps identify documents requiring additional review

Filtering and Search Capabilities

The Document Queue provides robust filtering options to manage large document volumes:

Filter Options

  1. Document Type Filter – Select specific document types using the "All Types" dropdown

  2. Priority Filter – Filter by processing priority levels using "All Priorities" dropdown

  3. Search Bar – Find documents by name, ID, or partial text matching

Bulk Operations

Select multiple documents using checkboxes to delete multiple selected documents in one go.

Document Actions

Available actions vary based on document status and processing state:

For Pending Documents

  • Process – Initiate document processing manually

  • Delete – Remove document from queue

For Running Documents

  • Track – Monitor real-time processing progress

For In Review Documents

  • Review – Access the review interface to verify and edit extracted data

  • Track – Review processing history and timeline

  • Reprocess – Restart processing with optional feedback

For Successful Documents

  • View Results – Access extracted data in Refined or JSON view

  • Track – Review processing history and timeline

  • Reprocess – Restart processing with optional feedback

For Rejected Documents

  • Reprocess – Restart processing with optional feedback

Review Interface

Documents requiring review provide comprehensive human validation capabilities:

Review Features

  • Refined View – Structured display of extracted data with visual field highlighting

    • Error fields marked with validation message/s for correction

    • Inline editing capabilities

  • JSON View – Raw data format for technical review

    • Direct JSON editing

  • Review Actions

    • Approve – Accept extracted data with or without editing to complete document processing with Sucess status.

    • Reject – Reject document with notes.

View Results Interface

Successfully processed documents offer multiple data access options:

Data Views

  • Refined View – Data in formatted, business-friendly presentation

  • JSON View – Data in raw JSON format

Export Options

Access extracted data in various formats:

  • Download as JSON

  • Download as CSV

  • Download as Excel

The export options are available through both the View Results action for successful documents and the Review interface for documents under review.

Integration with Other Features

The Document Queue works in conjunction with other Docspire components:

  • Document Tracking – Click "Track" to open detailed processing timeline and stage-by-stage monitoring

  • Integrations – Documents received from connected systems automatically appear in the queue

  • Workflows – Automated processing triggers based on workflow configuration
